Terms and Conditions

These Terms and Conditions (“Terms”) apply to all bookings and services provided by The Pop Up Golf (“we, “us”, “our”). By paying a deposit or proceeding with a booking, you (“the client”) agree to the following Terms:

1) Bookings and confirmation

  • Dates may be discussed or tentatively held, but a booking is not confirmed until we receive the deposit and confirm the booking in writing.

  • You are responsible for providing accurate event details (date, time, venue address, access instructions, indoor/outdoor setup location, and any venue constraints).

2) Payments

  • A 20% deposit is required to secure your event date.

  • Final payment: the remaining balance is due 14 days prior to the event date.

  • Late bookings: For bookings made within 14 days of the event date, payment in full is required to secure the booking.

  • Non-payment: If payment is not received by the due date, we may suspend services or cancel the booking after notifying you. If we cancel due to non-payment, the deposit may be retained in accordance with these Terms and to the extent permitted by law.

  • Payments can be made via the methods provided on our website and/or invoice.

3) Pricing, packages and travel

  • Package differences are primarily based on duration and customisability. Your booking includes the inclusions listed in your quote/invoice.

  • Tavel policy:

    • Travel is included within 25km of Sydney

    • Travel beyond 25km is charged at $0.81 per km and will be disclosed in your quote/invoice.

  • Additional services: Any add-ons. extra time, special requests, or changes to the agreed scope may incur additional fees and must be agreed in writing.

4) Cancellations and rescheduling

  • The deposit is non-refundable (subject to your rights under Australian Consumer Law).

  • Client cancellations (more than 14 days prior): If you cancel more than 14 days before the scheduled event, you may request one transfer of the deposit to a new available date (subject to availability). Transfers must be used within 6 months of the initially scheduled event.

  • Client cancellations (within 14 days): If you cancel within 14 days of the event, you acknowledge we may be unable to rebook the date. In these circumstances, you may forfeit the deposit and may be liable for any non-recoverable costs reasonably incurred in preparation for your booking (for example, the acquisition of custom-requested clubs that are not included with a standard booking).

  • Rescheduling requests: Rescheduling is subject to availability and may require a revised quote (including travel) and/or a rescheduling fee where reasonable.

  • Weather and safety rescheduling: If severe weather or safety concerns prevent safe setup (see section 6), we will work with you to reschedule where practical).

5) Event requirements and access

  • You are responsible for providing a safe and suitable location for simulator setup and pack-down, including:

    • Adequate space and safe swing clearance

    • Flat, stable ground and a clear setup area

    • Access to a standard power outlet

    • Safe bump-in-bump-out access (including reasonable proximity for unloading).

  • Minimum recommended space requirements:

    • Ceiling height: 2.7 m

    • Width: 3.0 m

    • Ball to screen distance: Approximately 2.0 m is ideal

  • If site access is restricted (stairs, long carry distance, narrow entries, no close parking/loading, additional setup time or fees may apply, or we may be unable to proceed if safety is compromised.

6) Outdoor setups, weather and safety

  • Outdoor setups are subject to conditions. Covered areas are preferred.

  • If conditions are unsafe or risk equipment damage (including rain, strong winds, or unstable surfaces, or excessive exposure), we may pause operation, relocate indoors if feasible, or cancel setup for safety.

  • Where cancellation is necessary due to safety or equipment risk, we will work with you to reschedule where practical, subject to availability and reasonable costs incurred, if applicable.

7) Use of equipment and conduct

  • Our staff will provide a safety briefing before use.

  • You are responsible for ensuring guests follow instructions and use equipment safely and responsibly

  • You are responsible for appropriate supervision of guests, including minors.

  • We may pause or stop paly if we believe conditions are unsafe (including unsafe swinging, crowding, interference with equipment, or intoxication).

8) Damage, loss and liability

  • Clients are responsible for injury or property damage caused by misuse or negligence, including damage to our equipment or the venue caused by you or your guests.

  • Guests must not move, tamper with, or adjust equipment unless directed by our staff.

  • To the extent permitted by law, we are not liable for indirect or consequential loss arising from the booking or event. Nothing in these Terms excludes or limits your rights under Australian Consumer Law.

9) Insurance

  • The Pop Up Golf carries Public Liability Insurance

10) Cancellations by The Pop Up Golf

  • If we must cancel due to factors outside our reasonable control (including safety concerns, serious equipment failure, or inability to access the venue safely), we will offer either:

    • An alternative booking date (subject to availability), or

    • A refund of amounts paid for services not provided, in accordance with Australian Consumer Law.

11) Privacy

  • We collect and store personal information to process enquiries, manage bookings, and provide our services. By making a booking, you consent to the collection and use of your information for these purposes.

12) Media and content

  • We may capture photos/videos during the event for marketing purposes.

  • If you do not want photography/videography at your event, you must request a no-media arrangement in writing prior to the event, and we will take reasonable steps to comply.

13) Governing Law

  • These Terms are governed by the laws of New South Wales, Australia.

By making a booking, you acknowledge that you have read and agreed to these Terms and Conditions.
